Before sharing a sample, establish the boundaries

Harvest Intelligence editorial

Before sharing data with an adviser or licensing intermediary, agree who may access it, why access is needed, and whether onward sharing is permitted. Start with a high-level description.

Begin without raw records

A high-level overview can describe the asset’s type, scale, refresh cycle, and origin without disclosing confidential records. Initial inquiries should avoid personal information, proprietary documents, and dataset uploads.

Identify the review owners

Determine who can authorize access and which legal, privacy, security, and business stakeholders should participate. Resolve questions about permitted use and obligations before moving to a detailed evaluation.

Use a defined evaluation scope

If sample sharing becomes appropriate, agree on purpose, recipients, access controls, duration, and any deletion or retention obligations. Specify whether access is limited to the intermediary or includes downstream evaluators. Have qualified advisers review the arrangements applicable to the specific asset.

Limit disclosure at each stage

Share only what is necessary for the agreed evaluation and document what was provided. A staged process helps the enterprise retain control while learning whether a commercial opportunity warrants further work.
